Fees and Payment Information

We are now in-network providers for the following health insurance plans:

           If you have coverage by these insurance companies, we will be happy to file your insurance payable to us.  In order to preserve office time for treatment of your child, we request that prior to your first appointment, call your insurance company and ask the following questions:

  1. Is speech therapy for children a covered benefit?  If so, what are the diagnoses or conditions that they will cover?  Remember, insurance companies generally do not cover diagnoses that they consider to be “developmental” in nature.
  2. Is a “letter of medical necessity” required by your child’s physician?
  3. Is pre-authorization by the pediatrician’s office necessary?  If so, ask them to fax the authorization to us at: 919-467-1712.
  4. Have you met your deductible for the year, and if not, what is the amount you must meet before your insurance will cover the cost?
  5. Do you have a co-payment, and if so, what is the amount?

 Our practice is committed to providing the best treatment for our patients and we charge what is the usual and customary fee for comparable services in this part of North Carolina.  Our fees are as follows:

            $80----------half hour treatment session

            $120 ---------45-minute treatment session

            $160 -------60-minute treatment session

            $250--------brief assessment (less than one hour) and written report

            $250 + $150 for each additional hour - comprehensive assessment plus written report

 Charges for speech and language therapy are due and payable at the time that services are rendered.  We accept cash, checks, and VISA/Master Card.

 You are responsible for payment of your bill, regardless of whether your insurance company denies the claim.  If you have insurance coverage with one of the above listed health care providers with whom we have signed a contract, then we will accept whatever they determine to be your charges for the service (this includes your co-payment and/or deductible). We will “write-off” the difference.

As a convenience to you, we will be happy to file your insurance payable to the center.  We ask that you meet your deductible and pay co-payments after each therapy session.  As a security guarantee against non-payment of the full bill by your insurance company, we require a valid credit card authorization.  If your insurance company denies the claim, we will charge your credit card only for the charges denied.  You will be mailed a notice that your credit card has been charged for the denied amount.  In the event that your health plan reverses the denial decision and eventually pays us the charges, you will be given a prompt refund.

Broken appointments cost us money.  We request that you give us at least three hours of prior notice to cancel an appointment.  Our policy for broken appointments is to charge the rate of a normal office visit.  (Insurance companies do not reimburse for broken appointments.)  Please help us to serve you better by keeping scheduled appointments or calling at least three hours in advance to cancel.  All staff have pagers and we have 24-hour answering service seven days a week.

Illness and Inclement Weather Policies

Illness

If your child has a fever, a persistent cough, or a runny nose, please call and cancel your appointment. Because of the close proximity of the therapist to the child’s face, it is easy for the virus to be spread. Your therapist needs to see many children over the course of the week and cannot afford to be out sick frequently. In addition, toys and table surfaces would need to be sanitized between therapy sessions to prevent subsequent children from being infected.

A general rule of thumb is that if a child has been on an antibiotic for 24 hours and does not have a fever, is not coughing frequently, and does not have a runny nose, he is probably not contageous. We appreciate your understanding and will be happy to reschedule your appointment. We have a 24-hour answering service and each therapist has a pager, so feel free to call us at any hour. We appreciate three hours notice if you are canceling; however, we also understand how illness in young children can occur suddenly, so you will not be penalized with a fee if you call even an hour before your appointment. Just be sure to tell the receptionist who answers our phones that your child has suddenly become ill. We understand!

Inclement Weather

We follow the same inclement weather policy as Wake County Schools. If Wake County Schools closes for the day, we will also be closed. If the county closes schools at noon, we will automatically cancel all appointments after 12:00. We care about our clients and do not want you to risk your life on icy roads getting here. If you have questions about scheduling your next appointment, do not hesitate to phone us. Many clients keep the same appointment time each week, in which case it is understood that you will be seen at the same time on the following week.
